1. Committee Policy Enforcement & Maintenance: - Schedule, organize, and maintain committee meetings, including drafting agendas and capturing accurate minutes; - Track action items and ensure timely follow-up with responsible parties; - Assist in implementing and monitoring adherence to corporate policies and procedures across all subsidiaries. 2. Office Management: - Manage day-to-day office operations to maintain a productive environment, including coordinating office supplies, repairs, and other facilities management tasks; - Develop and enforce office procedures to promote a smooth and efficient working environment; - Supervise office support staff, if applicable, and manage service contracts with external providers. 3. File & Document Management: - Organize and maintain physical and electronic filing systems for easy retrieval and security of critical documents; - Ensure compliance with company-wide document retention policies and regulations. 4. Administrative Support to Executives - Coordinate domestic and international travel logistics, including booking flights, accommodation, ground transportation, and managing visa and work permit processes; - Prepare and process expense reports in a timely manner; - Assist with event planning, including executive retreats, internal meetings, and key stakeholder engagements. 4. Stakeholder Management: - Serve as the primary point of contact for external stakeholders on administrative matters, including travel arrangements and meeting logistics; - Liaise with embassies, consulates, and other authorities to facilitate visa/work permit applications; - Maintain positive working relationships with vendors, clients, and other business partners. 5. Logistical Coordination - Assist with logistical arrangements for company events, meetings, and other gatherings, including the preparation of meeting materials and follow-up communications; - Manage logistics for visiting executives or delegations from partner companies or government bodies. 6. Other tasks assigned by the all management and the General Director related to the company's activities.
