Job Description: We are seeking a proactive and organized Assistant to the Rector to support the leadership team in managing academic and administrative tasks. Responsibilities include coordinating schedules, handling correspondence, preparing documents, organizing meetings and events, and facilitating communication between departments and external partners. The ideal candidate should have strong organizational and communication skills, be able to multitask effectively, and possess a high level of discretion and professionalism.
Job duties:
Assistance in managing academic and administrative processes;
Handling various documentation: incoming/outgoing correspondence for the head, internal university documents, academic documentation (course plans, reports, academic transcripts), as well as documents for partners, ministries, international collaborators, etc.;
Receiving and redistributing incoming requests/tasks, including independently resolving some issues, and reminding the head about events and meetings;
Coordinating schedules for lectures, exams, and other events;
Communicating with faculty and students, addressing current issues;
Supporting the organization and monitoring compliance with the educational process and quality standards;
Assisting in the preparation of reports for accreditation and other external audits;
Helping with recruitment: job descriptions, posting vacancies, initial candidate screening, organizing interviews, and communication with candidates;
Organizing meetings, conferences, seminars, and other events;
Providing the head with all necessary information upon request and executing special assignments from the head.
Skills:
Higher education (preferably in law, management, or related fields);
Work experience in administrative or educational sectors (preferably in higher education institutions);
Knowledge of academic process standards and regulations;
Ability to work with documents and assignments;
Excellent organizational and communication skills;
Ability to work effectively in a multitasking environment and handle large volumes of information;
Proficient user of computers and office equipment, office software (MS Office, Excel, PowerPoint);
Excellent command of Russian and Uzbek languages (fluent in spoken and written);
English language proficiency at least at Upper-Intermediate level;
Knowledge of business communication rules, business writing, and telephone etiquette;
Experience in roles such as office manager, executive assistant, or administrator is a plus;
Personal qualities: responsibility, stress tolerance, systematic and structured approach, analytical skills, accuracy, attention to detail, ability to work in multitasking mode, willingness to learn, communicativeness (ability to interact with various people—from professors to prospective students), result-oriented mindset, and proactiveness.
